How to Choose Receipt Paper for Your Restaurant POS

Restaurants depend on their POS systems to keep service moving. When the receipt printer runs out of paper or uses the wrong roll, it creates delays at the register, frustrated customers, and unnecessary stress during peak hours. This guide covers everything a restaurant owner or manager needs to know about choosing, buying, and stocking the right receipt paper.

What Type of Paper Do Restaurant POS Printers Use?

The vast majority of modern restaurant POS printers use direct thermal paper — a heat-sensitive paper that produces prints without ink or ribbons. Thermal printers are the standard in food service because they're fast, reliable, and low-maintenance.

Some older restaurant setups use impact (dot matrix) printers with ink ribbons, particularly for kitchen order printers in high-heat or high-grease environments where thermal paper may not hold up as well. These require paper rolls and separate ink ribbons.

The Most Common Restaurant Receipt Paper Size

The standard receipt paper size for restaurant POS printers is 3 1/8" x 230' (80mm). This size fits the most widely used restaurant POS receipt printers including:

  • Epson TM-T88 series (the most popular restaurant receipt printer in North America)
  • Star TSP100 and TSP650 series
  • Citizen CT-S series
  • Bixolon SRP-350 series

If your restaurant uses a separate credit card terminal (rather than printing through the POS system), that terminal likely uses 2 1/4" (58mm) paper.

Kitchen Printer Paper

Kitchen order printers — used to send orders from the front-of-house POS to the kitchen — are often impact printers rather than thermal printers. Impact printers are preferred in kitchen environments because heat and steam can cause thermal paper to darken prematurely.

Common kitchen impact printers include the Epson TM-U220 and Star SP700 series. These printers require both paper rolls and ink ribbons. The Epson TM-U220 uses 3 1/8" bond paper rolls and ERC-38 ink ribbons.

How Much Paper Does a Restaurant Use?

Paper consumption depends on transaction volume and receipt length. A typical full-service restaurant might go through 1–2 rolls per day on a slow day, and 4–6 rolls on a busy weekend. A fast-casual or quick-service restaurant with high transaction volume can use significantly more.

As a general rule, buying paper in cases of 50 rolls and keeping at least 2–3 cases on hand ensures you never run out during service. For multi-location operators, bulk pallet pricing offers significant per-roll savings.

Should Restaurants Use BPA-Free Paper?

Yes. Given that restaurant receipts are handled by both staff and customers, and that food service environments involve frequent hand washing (which can increase BPA skin absorption), BPA-free thermal paper is the recommended standard for food service businesses. All standard thermal paper rolls at POSPaper.com are BPA-free.

Tips for Managing Receipt Paper in a Restaurant

  • Keep a par stock — Set a minimum quantity in your storage area and reorder when you hit it. Running out mid-service is avoidable.
  • Store rolls correctly — Keep thermal paper away from heat, direct sunlight, and humidity. Store in the original packaging until use.
  • Train staff on loading — Thermal paper only prints on one side. If receipts are coming out blank, the roll is loaded backwards.
  • Buy in bulk — Cases of 50 rolls offer better per-roll pricing and fewer reorder cycles.
